Vacancy: Executive Secretary Role Summary: We are seeking a highly organized and proactive Executive Secretary to manage the Director’s office and provide comprehensive administrative and executive support to ensure smooth and efficient operations. Key Roles and Responsibilities:
  • Manage the Director’s daily schedule, meetings, and appointments
  • Handle all official correspondence, emails, and document preparation
  • Maintain and safeguard confidential records and documentation
  • Oversee petty cash management, including tracking and reconciliation
  • Support procurement processes, including coordination with vendors and internal teams
  • Coordinate and support internal meetings and events
  • Liaise effectively with internal departments and external stakeholders
  • Provide proactive administrative support to ensure seamless office operations
  • Serve as Secretary to the Board - includes preparing Board agendas, coordinating meetings, recording and circulating accurate minutes, and ensuring timely follow-up on Board decisions and resolutions
  Requirements:
  • Minimum of 5 years’ experience in administrative or executive support roles
  • Strong organizational, communication, and multitasking skills
  • Ability to handle sensitive and confidential information with discretion
